To operate high-speed order management and storefront services, we collect:

• Account Profile Data: Merchant name, business registration, billing email, phone number, and physical dispatch address.
• Storefront & Order Data: Customer delivery names, recipient contact numbers, shipping addresses, ordered items, and payment status necessary to dispatch parcels and generate waybills.
• Operational Telemetry: Log records of staff actions, barcode scans, and pipeline updates for security audit trails.

3. How We Use and Protect Data

All data processed by Nexlymate is used strictly to fulfill orders, transmit courier manifests, reconcile COD payments, and provide platform maintenance. We never sell, rent, or trade your merchant customer lists or transactional records to third-party data brokers or advertisers.

4. Third-Party Courier & Gateway Integrations

When you trigger courier dispatch or online payments, relevant order metadata is transmitted via encrypted HTTPS TLS 1.3 to authorized providers:

• Couriers: Koombiyo, Domex, and Royal Express receive parcel delivery addresses and COD collection figures.
• Payment Processors: PayHere captures tokenized payment verification without Nexlymate storing raw credit card PAN numbers.

5. Data Security & Tenant Isolation

Nexlymate OMS enforces logical tenant isolation. Staff roles (Owner, Manager, Staff) control granular permissions, preventing unauthorized internal staff access to sensitive financial metrics and margin reports.

6. Data Retention & Right to Erasure

Merchants maintain full ownership of their store data. You may request a complete export in CSV format or submit an account deletion request by writing to our compliance officer at privacy@nexlymate.com.
